PTO Meeting Notes 9/12/19

BES PTO Meeting

Date: Thursday, September 12

Location: BES Conference Room

 

In Attendance: Lindsay Wright, Casey Roper, Julie Holt, Jamie Jones, Jessica Hastings, Amanda Pilkinton, Beka Nelms, Erin Mitchell, Jill Justus, Melissa Daniel, Mrs. Reith

 

Called to order at 9:00 by Lindsay Wright

 

§  Treasurer

·      Money In: Tailgate made $376; Membership to date 1600;

Spiritwear sales to date 3400; Sponsorship to date $2250

 

·      Money Out: Biztown $2000; Ballet $500; Insurance $540

·      School Supply $ incoming

 

 

§  Sponsorship

·      Four pledged outstanding – Matt Wright, Elite Sanitation, Dominos, Berry Farms Chiropractic)

·      Other potential: MTLC Building group; Berry Farms Dental; Farm Bureau?

·      Want to close Oct. 1.

 

 

§  Teacher Grant Request

·      Bases for kickball (5th grade) – Erin will buy

·      Volleyball net—PTO to purchase (Casey will order)

 

§  Spiritwear

·      2nd order delivered, extras ordered (just a few, in case)

·      Sell extra on website (save some in case of new families)

·      Sample sizes ordered for fall shirts at BYB to order

 

·      Footballs ordered, white mugs ordered (both for sale at BYB)

·      Old stuff – clearance on website ($3 + fee) – donate some to Tammi’s families

(Or just shoot them out of a cannon at car rider line – whatever gets rid of them quickest.)

 

§  Membership

·      Did last order of shirts (12-14)

·      Over 70 total memberships

(if Melissa didn’t eat strangers’ popcorn, we would definitely have more.)

 

§  Hospitality

·      September – Weds 18th (Kimbra announced to teachers)

·      Tailgate theme – (no class sponsor) Hotdogs, Chili (full lunch)

 

 

§  Spirit Nights

·      Wilson Family Farms Sept. 24th and 26th 3pm – 8pm. 6-9 volunteers needed – one hour each/3 at a time (teachers?)

·      Spirit Night A-frame sign board is $175

o   Lindsay Wright -  motion to approve sign for $175

§  Teacher Liaison (Mrs. Reith)

·      Purpose – To bridge gap between school and community. Some Ideas:

o   We can train others to use equipment to volunteer.

o   Bus duty (parents volunteer – can we even do that? Ms. Justus said Erin can’t.)

o   People sign up to be a helper for a day. Wednesday 10-2 (Signup genius—Amanda Pilkinton)

o   UBER PTO eats (we pick up their food – grade levels, maybe?) Once a month. (Erin to create Signup genius—coordinate with Jamie on Spirit Nights)

·      Survey out – bridging the gap with the community? Survey on website?

·      Companies donate baskets to teachers (win at assemblies, could also be purchased with PBIS points) – once a month. Committee has some ideas of who to solicit.

Some can be things we can put together – S’mores kit, other easy, cheap stuff

 

 

§  Backyard BBQ

·      Everyone go ahead and kiss your families goodbye, pack up your sleeping bag and take up residence at the school, because you ain’t leavin’ in the next month.

·      Tickets: Wristband form went home in folders, are also available for purchase online. Casey keeping up with tickets. Need to make FB post about adults needing tix (cash/check only at door). 

·      Marketing: Share videos/articles online, fliers to businesses.

·      Entertainment – inflatables, back yard games, petting zoo, cake walk – need donations (signup genius for cake donations), Tennessee Stills – Mel bringing trailer, selfie station, decorations (Tara ,Jamie), Food - - all scheduled, soda toss (signup genius)

·      Volunteers –20 students – 2 at each inflatable (we are feeding them), they are rotating, wear a Volunteer shirt (Can this be made? Mrs. Cooper?) We wear PTO shirts, need teacher volunteers for gate and cake walk (Ms. Justus – 2/hour  at each gate 5-7= 8, shifts for cake walk, soda ring toss) Kids can only win 1 2-liter

 

·      Class craft/baskets--- items due to room mom 17th, crafts 30th, full baskets due 24th. Need a room to store these items (Mrs. Justus to arrange)

·      Auction – looks good – items due whenever you have them

 

§  Up Next

·      Meeting 26th – PTO meeting (Remember to set dates for spring events (Mrs. Justus be prepared with school calendar)

 

·      BYB meeting – Monday 30th, 9:00 ---- Bring all auction items and what’s left of your sanity.

·      Online auction – teacher items, class crafts (add as they come in) – begin bidding then, finish in person. Teacher items – bid in $5 increments, $50 buy now.

 

§  New Business

·      Christmas (Tammi surgery in Nov.) wants to meet before that - - what do we need?

·      Brunch with Santa – Dec 15th

·      PE/Related arts needs --- PE= $10,000 list ($5,000 mats), Casey getting all lists

o   How much to spend now, how much to wait? Casey and Lindsay to discuss and propose at next meeting

 

§  Principal’s Report -- Ms. Justus

·      Teacher Morale Fund -- $1000. When can we release funds? (*Casey whips out checkbook like a boss*) “RIGHT NOW.”
